1. Photography Sessions

Payment Terms

Full payment is required at the time of booking to reserve your session date and time. Bookings are not confirmed until payment has been received.

Service Area & Travel

Services must take place within our service area. Our service map is available on our website.
Services requested outside of our service area require written approval from thenorthlightphotography@gmail.com prior to booking and may be subject to travel fees.

Services booked outside of our service area without written approval may be cancelled without refund.

Travel fees apply for locations outside of the standard service area.

Coverage

All photography sessions are 30 minutes in duration

​​

Extended Coverage

Each 60 minutes of extended coverage includes 10-20 images

​

Newborn Packages

• It is the client’s responsibility to schedule each session. Sessions are not automatically scheduled and must be booked individually through our booking system. All sessions are subject to availability at the time of booking.

• This package is valid for one year from the date of purchase. Any sessions not used within one year will expire and will not be refunded or carried forward.

• This package may be purchased more than once for separate children (for example, for a future baby). However, this package may not be used more than once for the same child.

• This package is non-refundable and non-transferable. Sessions included in this package cannot be transferred to another person.

Workplace Packages

• Workplace photography packages include a set number of staff, and additional staff must be booked as an add-on in advance, as we do not photograph beyond the package limit without prior arrangement; over 50 staff requires a custom quote

Cancellation & Rescheduling Policies

• Bookings are non-refundable.

• One reschedule is permitted with at least 48 hours notice.

• Additional rescheduling may require a new booking.

​

Late Arrivals

If you arrive late, your session will still end at the originally scheduled time and fewer images may be delivered.

​

Weather Policy (Outdoor Sessions)

If weather conditions are unsuitable (rain, heavy wind, extreme cold/heat), outdoor sessions will be rescheduled at no additional cost. Weather decisions are typically made 24 hours before the scheduled session.

Image Style

Clients acknowledge that they are familiar with the photographer’s style and understand that images will be edited in a consistent style at the photographer’s discretion. Northlight Photography retains copyright of all images. Clients are granted personal-use printing rights. Northlight Photography may use images for portfolio and marketing purposes unless otherwise agreed in writing.

Image Delivery

Final images are delivered through a private online gallery to the e-mail provided within 2-3 weeks after the session date​

Liability Limitations

Northlight Photography and its representatives will take all reasonable care in providing services. However, we are not responsible for:

• weather conditions

• location restrictions

• interference from guests or members of the public

• poor cooperation from subjects (The client is responsible for ensuring cooperation from guests and family members during group photos. Northlight Photography is not responsible for missed photos due to lack of cooperation, lateness, or schedule delays.)

• delays caused by venues, events, or schedules

• missed moments due to circumstances beyond control

• equipment failure, illness, emergency, or other unforeseen circumstances

In the unlikely event that services cannot be delivered due to circumstances beyond control, a replacement photographer will be provided; if a replacement photographer cannot be provided, liability is limited to a refund of payments made.​

 

Copyright & Image Use

Northlight Photography retains copyright ownership of all images created. Clients are granted personal-use printing rights for delivered images.

Images may not be edited, altered, or filtered without written permission.

Commercial use of images requires written permission and may be subject to additional licensing fees.

Northlight Photography reserves the right to use images for portfolio, website, social media, and marketing purposes unless otherwise agreed upon in writing.

2. Wedding Package Policies

Payment Terms

A non-refundable deposit is required to secure your wedding date. Wedding dates are not held without a deposit. The deposit is applied toward the total cost of your wedding package. The remaining balance is due 14 days before the wedding date and must be paid by e-transfer or cash. If final payment is not received by the due date, Northlight Photography reserves the right to cancel coverage and retain the deposit.

Coverage begins at the scheduled start time listed in the booking and continues for the number of hours booked in your package. If the schedule runs late, additional coverage may be available at an additional cost if the photographer is available; payment due on site.

Wedding Day Timeline

Clients are responsible for providing a wedding day timeline at least 14 days before the wedding date to ensure adequate planning and coverage of important moments.

Image Style

Clients acknowledge that they are familiar with the photographer’s style and understand that images will be edited in a consistent style at the photographer’s discretion. Northlight Photography retains copyright of all images. Clients are granted personal-use printing rights. Northlight Photography may use images for portfolio and marketing purposes unless otherwise agreed in writing.

Gallery

Wedding galleries are typically delivered within 4–6 weeks. A preview or small selection of images may be delivered earlier.

 

Cancellation & Rescheduling

If your wedding date changes, we will make reasonable efforts to accommodate the new date, subject to availability. If the photographer is unavailable for the new date, all payments made are non-refundable. If your wedding is cancelled, all deposits and payments are non-refundable due to date reservation and the photographer turning away other bookings.

3. Birth All-Inclusive Package​

Payment Terms

Birth photography is an on-call service scheduled around your estimated due date, as birth can happen at any time, day or night. Full payment is required at the time of booking in order to reserve your on-call period. Because birth photography requires continuous on-call availability and limits the number of clients that can be accepted each month, all birth photography bookings and payments are non-refundable once the on-call period has begun.

We service Winchester Hospital, Ottawa Hospital, Civic Hospital, Hawkesbury Hospital, Cornwall Hospital, Montfort Hospital.

**Kemptville Hospital, Hull Hospital and Hopital de Gatineau and Queensway Carleton Hospital are outside of our service area, and require written approval from Northlight Photography prior to booking

Coverage

Clients are responsible for notifying the photographer as soon as labour begins so that arrangements can be made to attend and document the birth. Every effort will be made to attend your birth; however, due to the unpredictable nature of labour and delivery, attendance cannot be guaranteed in cases of rapid labour, medical emergencies, hospital restrictions, unsafe travel conditions, or other circumstances beyond control.

If birth coverage is missed due to timing or medical circumstances, a 6-Pack Newborn Session will be provided in place of birth photography (a value of $1,794). This ensures families still receive beautiful, professional images to document the early days with their newborn.

4. ​Drone Services

Drone services are conducted in accordance with Transport Canada regulations. Some services may be limited by weather, airspace restrictions, or safety regulations.
